Your role
Are you a detail-oriented multitasker? Do you know how to make sure things run smoothly? We’re looking for someone like that who can provide administrative support to Poland Country Head and Management Board based in Krakow whose main responsibilities are:
• manage and maintain calendars, including conference calls, vacation, travel and client meetings
• assist with incoming and outgoing communications and coordination of department meetings in Poland and with onshore colleagues
• provide administrative and organizational support, including providing assistance with expense administration and processing invoice
• assist in UBS BDSC tasks & project-like initiatives
• support UBS BSC with documentation archiving
• assist in preparing regular management reports
• assist in preparing formal governance bodies meeting minutes.
As a candidate you should be a self-motivated individual who takes initiative and enjoys working in a dynamic team environment. You should be highly organised and possess strong written and verbal communication skills. You will be proficient with technology and systems including Microsoft Outlook, Word, Excel and PowerPoint. You will need to work with limited supervision and maintain a professional manner with internal and external parties.
Your team
This role will directly support UBS BSC in Poland Management Board especially Poland Country Head. The role is placed within Poland Business Management team which reports to Poland Chief Administration Officer. The Post is located in Eximius Park (Zabierzów).
Your expertise
• 2+ years of relevant administrative experience
• English and Polish languages on professional working level
• at least intermediate Microsoft Office skills (Excel, Word, PowerPoint, Outlook)
• able to offer an efficient and friendly service to all members of the team
• able to work collaboratively with all areas of the bank to stakeholders satisfaction
• resilience and able to work under pressure with tight deadlines
• strong problem solving skills and initiative
• strong written and verbal communication, able to interacting with colleagues at all levels
• ideally you are re a self-starter who is very well organized and able to prioritize key tasks
