Part-Time Wellness & Resiliency Coordinator

Overall Job Purpose

The Wellness & Resiliency Coordinator will act as an integral member of the Wellness & Resiliency Team (W&R Team) and provide coordination and administration support in the delivery of our Wellness & Resiliency Program (W&R Program). The W&R Program is designed to support employees and in particular our employees who work with sensitive content.

The W&R Coordinator will support the W&R Team in the delivery, coordination and roll of the W&R program. This position is generally varied, including administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment and resolution of complex situations/issues.

The Wellness & Resiliency Coordinator will interact with internal stakeholders including W&R Team, People Operations, Operational Managers, Site Management, Health & Safety and Facilities Teams. On a daily basis the successful candidate will be in contact with employees in the delivery of programs and the smooth operation of the Wellness & Resiliency Program. The successful candidate must have the ability to respond to shifting priorities, maintain calendars and administration work. Excellent collaboration and teamwork skills are required in order to coordinate with stakeholders and accomplish departmental activities.

Duties & Responsibilities

  • Administration and coordination of W&R program activities as set by the W&R Team.
  • Support the W&R Team with data, metrics and insights gathering and report/dashboard compilation and survey generation for effective program management.
  • Provide professional and administrative services to the W&R Team
  • Create newsletters and communications on W&R program resources and activities.
  • Maintain EAP platform with information, articles and reference guides as required.
  • Coordinate and schedule wellness & resilience activities such as counselling, yoga, group sessions, meditation, fitness sessions etc working with both internal and external delivery sources.
  • Work with the W&R Program Lead around utilization, compliance and other metrics and calibrate the program effectiveness and reach.
  • The role will also be required to provide W&R Program overview to new joiners.
  • Manage refresher trainings for employees on the W&R program to educate them on the benefits of the program.
  • Act as an advocate for the W&R Program and understand the program elements and their purpose.
  • Assumes responsibility for logistics, scheduling, problem resolution and reporting of results
  • Designs and produces department materials utilizing advanced skills in software applications such as Word, Excel, and PowerPoint.
  • Work with the country and/or site Wellness & Engagement Teams to schedule and develop events aligned to the annual Wellness, Resiliency and Engagement plan.

Required Qualifications & Experience

  • Fluency in written and spoken English is essential
  • Degree in Psychology or other related field is preferred
  • 2 years’ work experience in Human Resource administration, wellness or other related field is preferred
  • Excellent verbal and written communication skills, with exceptional interpersonal, customer service, and time management skills
  • A sense of urgency required while maintaining a high degree of professionalism and confidentiality.
  • Ability to multitask, work with minimal supervision, and achieve results in a fast-paced environment
  • Creative problem-solving and analysis skill
  • Team player with exceptional interpersonal and solution-oriented attitude
  • Problem Solving: Identify & analyzing issues to drive logical solution
  • Strong organizational skills
  • Able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, and rapidly changing environment.
  • Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook)
